
Trading Post Terms and Conditions

The Trading Post is our convention's "Dealers' Den". It takes place for one day, one afternoon.

You need to be a registered attendee to apply for a table. You can apply as a residential or non-residential attendee.

The Trading Post will take place in the Baron's Hall at Lumley Castle. The number of tables is limited. For your best chance of getting a table, be sure to fill in the form as soon as possible in as much detail as you can.

If any assistant of yours wishes to sell items of their own, or a fellow trader you wish to share a table with, they must fill out their own Trading Post application form. Both applicants must also select "Yes" that they are willing to share a table, and specify the other trader they would prefer to share with in the Special Requirements field.

Successful applicants will be emailed with a confirmation with the address listed in your Wild North attendee registration. If you are successful, but no tables are available, you will be on a waiting list where you will be notified in the event a trader wishes to drop out.

Should you be accepted, you will be informed of updates surrounding the Trading Post by your preferred method of contact (either Discord or Telegram), including dates, times, and potential promotional opportunities to the lead up of the convention such as a trader's showcase. Time will also be allocated for you to access the Baron's Hall to set up your table prior to the opening of the Trading Post, as well as tear down when it closes.

We now have the option of submitting images and photos. This is entirely optional and not required for the application. Any and all photos must be relevant to your trade, and completely safe for work. The image files will only be used for promotional material relating to individual traders at the trading post (such as our Trader's Showcase, see here: https://bsky.app/profile/wildnorth.bsky.social/post/3lxkrixtza22l), with the applicant having an opportunity to review and approve said material prior to posting.
We also have some Terms and Conditions that we require all applicants to follow, should they be granted a table at the Trading Post (last revision: 02/03/2025):
1. All businesses are responsible for the safety of their property, equipment, and individuals operating their tables. They must ensure their actions do not harm themselves or other individuals or damage merchandise or equipment at other tables. This includes the use of any electronics. PAT testing might be arranged at the convention before the Trading Post, but this is not guaranteed.
2. Traders (and, by extension, attendees) must not sell or solicit trade at any location within the hotel or the grounds except at the Trading Post without the explicit permission of the Wild North staff during the convention.
3. Any stands or structures used to display and promote your items must be sturdy and appropriate and not obstruct or potentially overlap other tables. They must also only display items towards the front of the table and not at the sides, as this could lead to misunderstandings with other tables.
4. We do not accept items generated with AI or works created by others that you do not have permission to sell.
5. We do not accept items being sold that include or reference symbols, words, gestures, or phrases that are considered hate speech or relate to hate groups, as this violates our convention Code of Conduct.
6. We do not accept items being sold that are inappropriate for the setting, including sex toys and fetish items.
7. Any adult artwork must be kept out of sight, covered, or in a clearly marked folder or album, and where practical, kept separate from non-adult art.
8. Wild North's staff reserves the right to prohibit the sale of any item they deem inappropriate or offensive to the venue's staff and visitors.
9. Because of UK Gambling Laws, Gambling is not permitted in the Trading Post. Games such as, but not limited to, lucky dips, tombola, raffles, and similar must have a guaranteed prize with every play.
10. No food or drinks, especially alcohol, are allowed to be sold. However, commercially sourced pre-wrapped sweets are permitted if they are given for free to attendees.
11. No drugs or controlled substances are to be sold, which would violate our Code of Conduct.
12. Props can be sold ONLY if they adhere to our Code of Conduct. Blunt non-metal props are allowed, but sharp blades, firearms, or other projectile weapons are deemed unsuitable. Any metal, fire, or potentially hazardous props must be declared to the Wild North staff before the event. The Wild North staff will decide if such props are suitable and if the Trader must inform buyers that such props are not to be used and are to be kept in their rooms for the duration of the convention.
13. The walkways of the Baron's Hall must be kept clear at all times for health and safety. Items can be stored under the tables.
14. We have zero tolerance for abuse towards staff, attendees, visitors, and other traders. Such incidents may result in the Trader being removed from the Trading Post.
15. While Traders can take photos/videos of their tables for social media, they must ensure that other tables are not visible. The only exception is Wild North Staff, who may take photos of the Trading Post for advertisement purposes. Please inform the staff if you do not wish to participate.
16. At the end of the Trading Post, all items must be cleared away, including any rubbish; otherwise, Wild North Staff will take it either to be allocated as lost property or disposed of.
17. If you need to drop out of the Trading Post under exceptional circumstances, the Wild North Staff must be informed of this decision before the start of the event so your table may be allocated to a trader on the waiting list.
18. The Trading Post is for fully registered attendees of the upcoming Wild North event. If you cannot pay within your specified payment window, your table will be allocated to the next applicant on the waiting list.
